The new tenancy agreement already begins while the old flat still needs to be painted. A move with a transition period can ease the burden, but the organisation does not automatically become easier. Two sets of keys, several contract dates and different contacts require a clear allocation. Above all, you should not treat contractual start, actual move-in and handover as if they were always the same day.
Create a timeline with real events
Our recommendation: First draw a simple timeline. Enter key handover, planned move-in, furniture transport and handover of the old flat as separate events. Add contractual dates from the actual agreements. If a date is still open, mark it as open. A calendar week that was mentioned only as a wish must not unnoticed become a fixed booking for tradespeople.
Then discuss which activities require access to which flat. Cleaning work, minor approved works and transports often depend on each other. Distribute tasks so that not everything takes place on the last day. Whether works are contractually owed or permitted at all must be clarified separately; an organisational plan does not create an obligation to renovate.
Do not confuse registration and change of address
The official Austrian moving overview basically specifies a three-day period for registering a new main or secondary residence. It distinguishes this procedure from other registrations, de-registrations and re-registrations. Which registration is required in a transition situation must be clarified on the basis of your actual living situation. [Q1]
Our recommendation: Check the registration procedure in good time with the competent authority and use the documents requested there. Do not rely on the assumption that the contract overlap automatically means two main residences or no registration at all. With multiple residences or a foreign connection, an individual clarification may be necessary. A transport date alone does not answer this legal question.
One completion checklist per flat
Keep separate lists for the old and the new flat. For the old flat, list handover, agreed dates, key allocation and any outstanding arrangements. For the new flat, list access, utilities, reachability and already documented defects. Do not mix defects from the new flat with claims relating to the old one. Every message should clearly state the property and the subject.
For the change of address the official checklist names numerous possible parties, including employer, insurers, banks and ongoing subscriptions. It also points out key return and other location-related tasks. [Q1] Use these categories as a suggestion and strike out what does not apply. It is more helpful to check your actual existing contracts than to tick off a very long general list without checking.
Example: Transport on Saturday, move-in only afterwards
A household brings furniture into the new flat on Saturday, but initially continues to live in the old one. Internet and delivery address are to be prepared already. For the organisation, transport and actual occupation are recorded separately. The registration classification is clarified with the competent authority if there is uncertainty. In this way neither the furniture transport nor the first contract date is prematurely taken as a legal conclusion.
In everyday life a bag with documents, medicines, charging cables and items for the first night helps. The contents depend on your household. Do not store it in the removal van among unlabelled boxes. This small detail does not protect any deadline, but it prevents urgent everyday items from having to be gathered together again during the transition week.
Make double costs visible
Create a separate budget line for the overlap period. This can include two rental payments, agreed transport services or your own travel costs. Which item is actually incurred results from your contracts. Do not assume that the expected refund of a deposit will be punctual financing for the new flat without checking. Instead ask about the actual processing status and plan for sufficient available funds.
Limits and next step
The first step is an overview of dates with expressly confirmed dates. After that you clarify registration, access and contractual open points with the competent authority in each case. This article is not a complete moving checklist and not an assessment of tenancy agreement clauses. For a cross-border move, special care situations or multiple residences you may need additional information.
