“On Tuesday at six” seems unambiguous until one person waits on site and the other opens the viewing link several hours later. For an apartment search from abroad the same real point in time must therefore be agreed. Two different entries in the calendar can be correct; two identical-looking times in the chat do not necessarily mean the same thing.
Our own organisational proposal is aimed at seekers and providers in Austria and Germany who arrange a viewing with a person in another time zone. It deals with arranging the appointment. Whether a remote viewing is sufficient for your decision, which recordings are permitted and who may act on your behalf on site are separate questions.
In the fictional case the reference zone is initially missing
An interested party is on a business trip outside Europe. A contact person offers a live viewing of an apartment in Vienna. The message thread contains only “Tuesday, 18:00”. The interested party enters this information into her calendar independently; the contact person assumes the time at the property. Both have conscientiously noted an appointment, but not yet a demonstrably shared point in time.
Before agreeing, they should therefore reconcile the full date including year, the time, the named reference time zone and the intended duration. The local reference “time at the property in Vienna” makes the intention clear; in the calendar invitation the corresponding actual time zone must be chosen correctly. An abbreviated chat entry does not replace this check.
The city name alone is also not understood as an instruction to assume a permanently fixed hour difference. For the specifically agreed day the correctly assigned time counts. This article intentionally does not prescribe self-computed international time differences.
One person maintains the authoritative invitation
We recommend appointing a responsible organiser and one authoritative invitation. It should include the property or a unique listing identifier, the agreed date, start and end with matching time zone assignment and the agreed form of participation. Access for the live transmission will only be communicated via the agreed participant channel.

Microsoft explains for Outlook that start and end times are stored in UTC. A meeting request can appear in the calendars of the participants as local time and still denote the same point in time. [S1] Anyone seeing different calendar displays should therefore first check their time reference, rather than correct an invitation only because the numerals differ.
The source documents this Outlook behaviour. It is not a guarantee that every message transmission, every calendar programme and every video access automatically performs the same check. For a different application its actual settings and the received invitation must be checked.
The confirmation names the time and the participation channel
In the case example the contact person asks the interested party to report back the date and time shown in her own calendar view together with the time zone used there. Both then reconcile these details with the intended start at the property. If there is any uncertainty the responsible appointment coordinator performs the check; a second manual conversion by guesswork is avoided.
As a small mutual rule of thumb we recommend being able to answer these four questions before final confirmation:
- What is the full date and the shared point in time?
- Which time zone underlies the authoritative invitation and which underlies your own display?
- Who is physically at the property, who participates remotely?
- By which agreed channel will the participants reach each other if the entry does not work?
The answers need not be publicly stated in the listing. A short direct confirmation is sufficient as organisational coordination. An old chat screenshot should not displace the authoritative invitation.
When a postponement occurs several truths do not change in parallel
If the start is postponed the responsible person updates the authoritative invitation and informs the participants via the agreed channel. The reply should make it clear that the new version has been received. A single message “actually an hour later” without an unambiguous reference to the previous time leaves the same uncertainty as at the beginning.
Check the arrangement again if your location or the time zone used for the calendar changes before the viewing. This is our precautionary rule, not a claim about an automatic device switch. Keep the agreed property reference and the contact channel so that you do not have to search among several similar invitations for the appointment.
A shared appointment is not yet a complete viewing
If the connection does not work at the confirmed time the participants first clarify whether the problem concerns access, the technology or the time agreement. This should not be taken as lack of interest without asking. A new time will again be agreed fully and with an unambiguous time reference.
In the example the organisational task is only solved when both have confirmed the same start and know their respective roles. The subsequent inspection of the apartment, the documents and outstanding questions remains necessary. A calendar appointment neither replaces this substantive inspection nor a separate clarification of any contractual questions.
