A large branch looks different, new twigs lie under a tree, or construction work is to take place nearby. The community needs a professional assessment. For this the management should provide a precise observation and a clear question. A self-made list does not replace a tree inspection and does not confirm traffic safety.
Describe the reason without making a diagnosis
Note which tree is meant and from which normally accessible location the observation was made. A site plan with an unambiguous allocation is more helpful than “the tree at the back”. Describe what was noticed and when. Do not use technical damage terms whose meaning you cannot assess with certainty.
In the case of a suspected acute danger, the locally appropriate emergency route applies; this article is not an instruction to examine under branches yourself or to secure areas technically. Normal order preparation must not delay a necessary immediate report.
Separate the need for information from the desired work
“Please prune” presupposes a measure. “Please professionally assess the described condition and the necessary next step” leaves the investigation open. Clarify whether a check is being requested first or already a professionally justified job. Authority, local protection rules and required permits must be checked individually before concrete measures.
Attach any earlier reports with their date. Mark changes in the surroundings, such as planned ground works, as information for the specialist side. Do not claim yourself which of these changes is a cause.
Fictional case: pruning because of a planned installation
A specific area is to be used for scaffolding. In the house discussion it is proposed to simply remove obstructing branches. The management instead asks for a coordinated professional assessment of the installation and the tree surroundings. The scaffolding date is mentioned as a temporal constraint, not as an already granted permission for an intervention.
The result should explain which works or further checks are recommended and which prerequisites are missing for them. A mere indication of working time does not fulfil this need for information.
Conclude with a usable result
Assign the report to the specific tree and occasion. Distinguish professional recommendation, proposed execution and decision still required. A responsible clarification is named for open points. The management can thereby prepare the next step without turning an owner observation into its own safety clearance.
