The sentence that remains without praising the company
First write the occasion in a neutral sentence: who does what, at which location, at what time and with what specific content? Remove words such as leading, unique or revolutionary. If no recognisable information remains afterwards, there may still be an insufficiently specific occasion.
An announced information event is something different from an event that has already taken place. A new advisory approach is not yet a proven improvement of the market situation. Separate these states before they merge into a larger story in a headline.
Our suggestion is an internal factsheet. Every publication-relevant detail receives a responsible person and an actual basis. Participants, dates or services that are not yet confirmed do not appear in the text as seemingly fixed information.
A small fictitious announcement as a working example
An invented office is planning an open information evening to prepare housing documents. The conceptual core of the announcement could read: the office offers an evening on a concretely confirmed date in which interested parties can learn the structure of their own document list. Participation conditions, location and a cleared contact complete this core.
This fictitious occasion must not be adopted as a real news item. It merely shows the required details. “With this we solve the document problem of the entire real estate market” would be an unsubstantiated exaggeration. A clear description of what is actually planned is more helpful to readers than this claim.
From the working example one thing in particular becomes visible: what do participants actually take away at the end? If the team cannot yet answer this question, the offer must first be specified. A finished press layout does not resolve the substantive gap.
Handle facts, assessment and quote separately
A company assessment can be recognisable as such, but should not turn an unsubstantiated number into a fact. A quote is attributed only to a person actually involved with their approved wording. Invented experts or alleged original statements pieced together from different conversations do not belong in the document.
For researched details the sources actually used are given with their status. A foreign report is not a template that becomes an original piece of news through new synonyms. The text must be supported by its own explanation and a verifiable occasion.
A materials package that enables follow-up questions
Arrange the text, a short factsheet, the cleared contact and, if applicable, your own images together. For images describe subject, context of creation and permitted use in a comprehensible way. A generated stock image is not presented as a photograph of an event that took place. Rights and concrete publication prerequisites are checked accordingly; this aide does not replace that.
Before forwarding, a second person reads the text without internal prior knowledge. They should be able to recognise occasion, time, responsible parties and remaining limits. Changes to date or content are tracked in all related documents. This creates a reliable information base with which an editorial team can work independently. Whether and how they report on it is not anticipated here.
