At the exhibition stand a visitor asks for a general checklist for the first viewing. The team initially hands them a form asking for a telephone number and a newsletter preference. But the person may have only wanted to take some information away and decide later for themselves. A good stand contact does not have to become a data record immediately.
This article describes a bespoke design method for real estate companies in Austria and Germany. The proposed voluntary information offering is a deliberate editorial decision, not a claim of a general legal obligation. Anyone who collects personal data or wishes to make proactive contact later needs a separate appropriate specialist review for that.
Allow two different visitor tasks
In the fictional stand concept there are, firstly, people who want to read general content and decide their next step themselves. Secondly, there are people with a concrete query who want an actually attended response. The team offers two understandable routes for this, without covertly turning the first into the second.
The general information is immediately usable. A more in-depth conversation can be offered, but it is not a pretended prerequisite for the announced general content. A concrete request for feedback, by contrast, is handled according to its actual scope; it is not automatically treated as an unrestricted marketing consent.
Design a take-away offer from the visitor's perspective
The card or small information page explains which specific question it answers and how the person can find the stand or a suitable later point of contact again. An event date belongs only where it is actually relevant. A company contact usable after the fair is separated from a stand role that is only staffed during the event.
In the template the front side names a concrete learning question and the genuinely available follow-up content. The back leaves space for a private note. The card stays with the person; there is no hidden obligation to return it and no intended recording of its note content.
The team checks whether the information has an identifiable benefit even without a smartphone. A digital supplement can make sense, but it is not made the only intelligible component of a card announced as a paper aid. The offered alternative is based on the real materials, not on an invented service promise.
Conduct the stand conversation without closing pressure
A suitable question might be whether the person initially wants general orientation or a concrete contact. The team may accept their decision. It does not assume that restraint means a lack of seriousness.
For individual questions a responsible role is named. If the stand conversation is not sufficient, the information still needed can be described clearly. Confidential documents or personal contract histories are not spread out among the general public at the stand. The secure and permitted further route is clarified separately.
The moderation avoids artificial haste. A general trade fair aid is not loaded with unfounded messages such as “only with today’s registration will you be given priority for an apartment”. This example is an editorial rejection decision; a concrete marketing statement requires its own professional assessment.
The rehearsal begins before the actual fair
An unprepared test person takes the card and should be able to say: What topic do I get? How can I find the provider again? What can I do myself right now? Do I have to provide personal details for this? The answers show whether design and actual process convey the same voluntariness.
Also test later use. After the event is it still clear which contact is being handled? Does the announced information lead to the actually available appropriate content? A route that is only useful during the fair is marked as time-limited and not permanently advertised as a general service.
Do not rename the amount of material as the number of customers
The office can count distributed cards as material consumption. But this total is not a figure of new qualified leads or agreed contracts. Likewise, the later opening of general content does not automatically answer which individual person wants a real estate contact.
For the debriefing, practical observations are initially sufficient: Which learning question was actually asked frequently? Was the appropriate contact route understood? Where did information fall short? From this the stand offering can be improved, without needing to collect as much visitor data as possible.
The new web text describes a complete self-determined information route with its own use case, not the automatic permissibility of any collection or follow-up action.
