One person has withdrawn who you had oriented the next letting step around. You should now neither continue the old plan unchanged nor immediately send a new confirmation to all remaining contacts. This editorial working aid organises the organisational restart. It does not assess whether legally binding declarations or claims for compensation already exist.
Record the content of the withdrawal
First read what was actually cancelled: a viewing appointment, further participation in the selection process or a contract conclusion already discussed in detail. Note the wording and the date in the associated record. An unclear verbal statement should be clarified factually before it is treated internally as a definitive withdrawal.
If a binding agreement could be affected, that is a separate specialist point to examine. The organisational decision to update a list must not become an implicit legal assessment. The following procedure only assumes that you are entitled to organise the further communication.
Check consequences rather than just contact names
Look to see which steps were based on the previous expectation. Was another appointment postponed? Is someone waiting for documents? Is an internal handover time scheduled only because of this contact? Each such linkage should be given a current status.
Differentiated internal planning from statements already communicated. An appointment entered in the calendar has not automatically been communicated to all parties. Conversely, a message that has been sent remains in circulation even if you have deleted the internal calendar entry. Therefore update the affected communication channels specifically.
Example: Two further contacts are waiting for a reply
An owner had promised additional documents to one interested party and had assured two other people of feedback after this clarification. The interested party withdraws their enquiry. The owner first checks which statements about availability and the further procedure actually still apply. He then contacts the other people with the current status and a concrete invitation to the next step.
He does not write that the flat therefore automatically "belongs" to a particular person. Nor does he cite private reasons for the withdrawal. The information relevant to the further enquiry is the newly agreed procedure.
Do not reactivate an outdated ranking unexamined
Ask previous contacts whether they are still interested. Their last response may no longer be valid. Do not adopt any assumptions about financing, moving in or personal circumstances as the current status. Required information will be clarified as appropriate for the actual next step.
Then record who is now waiting for which reply. A short working overview with contact, last status and next action is sufficient; it does not need to collect private reasons for refusal. The crucial point is that you use reliable up-to-date information for the restart.
The withdrawal does not have to invalidate the entire preparation. But it can show which parts of the planning were based only on an expectation. By correcting exactly those linkages, the process remains comprehensible for the remaining parties without drawing premature new legal or personal conclusions.
