A tenant provides the landlord with a new telephone number. The landlord changes her entry. Nevertheless, the repair firm already commissioned later calls the old number, while billing support continues to use an e-mail address that is no longer wanted. The actual task is therefore larger than a single changed line: the agreed contact channel must reach the affected ongoing processes.
Understand the change request precisely
First ask about the specific scope: is a telephone number for scheduling appointments to be replaced, an e-mail address for ongoing queries, or a postal address for particular documents? Note which person communicated the change and from when they wish the new means of contact to be used.
Do not at the same time change the details of another contracting party. If in future a third person is to take over certain queries, clarify their actual mandate as a separate item. A new telephone number is not yet a complete description of that role.
Find the affected places in the specific case
Our editorial recommendation: go through the open cases rather than proactively supplying all places with all available data. Which appointment confirmation is outstanding? Who should actually call back for the agreed matter? Which ongoing support uses the contact channel in question?
Assign each required change to a specific responsible place. The notification should make it clear which entry is to be changed for which purpose. Personal additional documents are not routinely part of this. If the request is unusual or the sender unclear, verify it first via an already reliably known verification channel.
A separate case with an open repair order
In the fictional case a tenant expects an appointment to repair a cupboard door. Regarding the new telephone number, the landlord asks specifically whether this should also apply to the scheduling of this order. The tenant confirms this. The landlord informs the responsible order contact and asks for feedback on the completed change.
The company confirms the new contact status. Only then does the landlord remove her open change item. The still pending repair appointment remains its own open case. A successful contact change does not mean that the appointment has already been scheduled, nor that the repair has been completed.
Check confirmation and actual use
Note the feedback from the affected place. If it is missing, it remains visible who still has to respond. With a later normal message it is also possible to check whether the agreed service channel was actually used. The tenant does not need to generate further messages artificially.
Keep in the case record only the change necessary for traceability. Do not create a second general contact collection if the purpose is already fulfilled by updating the appropriate entry. This recommendation does not establish a general statutory deletion period.
Treat legally significant communications separately
The procedure described here organises ongoing service. It does not confirm that a termination, contract amendment or other legally significant declaration can be validly made or delivered by the same channel. Form, recipient and actual receipt of such declarations must be clarified separately in the respective country and concrete case.
The completed service case shows the agreed contact purpose, the actually informed places and their confirmed status. Further purposes are not tacitly derived from the original change notification.
