A new person or a different office is to take over the handling of your ongoing sale. In the previous process there are contacts, outstanding queries and several document versions. The change therefore requires more than new contact details in the listing. Our editorial method for Austria and Germany describes the orderly handover of work. Contract termination, remuneration, data protection and usage rights are examined separately.
First clarify the actual handover
Agree with the responsible advisor which previous instruction is to be handled how and from when which new activity is intended. The article does not declare an unknown brokerage instruction to be terminated. An already planned collaboration is not legally re‑arranged solely by a new contact person.
Then describe the organisational transition phase: who answers which enquiry? Which office keeps the current status? How are new pieces of information passed on? It should not be the case that each side simultaneously believes the other will take care of the next appointment.
Arrange contacts by case rather than by rumour
The necessary and permissible handover of contact details is coordinated appropriately. For the working status it is important what has actually happened with a person: enquiry, viewing, outstanding document or concrete further communication. A judgemental label such as “difficult prospect” is of little use for that purpose.
Record factual outstanding steps and the last confirmed response. Not every contact is still active, and not every friendly remark is a current purchase intention. The article does not invent either a commission claim or its disappearance from this classification.
Resolving a case with two parallel appointments
In the hypothetical case the previous advisor had pencilled in a second viewing for Wednesday. The owner assumes the new contact person will take over. However, this person only knows the newly handed‑over general contact list. The prospect is waiting for confirmation.
Therefore, during the handover each actually outstanding appointment is checked individually: participants, purpose, confirmed status and responsible response. The owner clarifies the intended procedure before new invitations are issued. This makes it possible to concretely avoid dual handling or a missing reply.
Jointly accept the basis of the offer
Gather the current description and the corresponding factual evidence. Mark which changes have been added during the previous sale. A new handling should not make an older price or specification version the presumed main version.
For photos, plans and other materials it must additionally be clarified which use is actually permitted. Possession of a file is not treated here as sufficient clarification of rights. Technical channel changes are coordinated with the actually responsible offices; certain platform functions are not assumed.
Conclude the handover with a traceable status
Jointly check a concrete new enquiry and an existing open case. Is it clear who replies, on which offer version and with which next step? This cross‑check reveals practical gaps better than the mere statement that everything has been handed over.
Keep the confirmed handover note with its limitations. A clean change does not need to retell every earlier message. It should bring together the legally classified scope of instruction, the current property basis and the genuinely open work processes in such a way that the sale can be continued without unchecked parallel statuses.
