You clean the common areas of the rental building yourself and take care of recurring maintenance tasks. For the annual statement you want to set an amount. Instead of adopting an arbitrary sum from an external quote or your personal sense of time, you should first distinguish scope of work and the legal cost basis.
Describe the tasks actually performed
Record which common rooms, areas and facilities were maintained and which activity took place in each case. An overview with date and reason helps with later allocation. It should describe actual work, not precautionarily rounded-up presence.
§ 23 Absatz 1 MRG describes property management, among other things, via cleaning and maintenance of commonly used areas, certain pavement obligations including snow removal as well as supervision of house and property. [BETREUUNG] It should not be inferred from this that every repair, every conversion or every private administrative conversation is property management.
Clarify the appropriate cost rule before invoicing yourself
§ 21 refers for reasonable property management expenses to § 23. [BETRIEBSKOSTEN] However, the applicable tenancy law framework and possible special legacy relationships must be clarified before adopting a cost rule. [RAHMEN] This article does not classify existing caretaker relationships or their transitional law.
§ 23 Absatz 2 distinguishes employees, commissioned contractors and self-performance by the letting side. For self-performance litera c refers to the amount under litera a. [BETREUUNG] This therefore creates a special statutory basis; it is not replaced by the property owner's freely chosen hourly rate. How it is to be determined in concrete terms must be examined by a competent person.
Prepare proof of service and an appropriate amount together
Our editorial recommendation: Prepare scope of activities, materials used and any cost receipts separately. Mark if an external company only takes on part of the work. This makes it possible to check which work was done by whom and whether the same scope inadvertently appears twice in the invoice.
A self-kept hours overview can be a working basis. However, it does not confirm every expense as chargeable nor the rate used as appropriate. Ask the responsible technical advisor about the specific basis of valuation and record its limits. The article does not provide a general price or wage table.
Fictional case: Own cleaning and external winter service
Farid regularly cleans the shared stairwell. For winter service there is an additional contract with a company. In his first overview he set all house visits with a flat supervision duration, even when he only had a private errand in the building.
He now separates actual cleaning, other visits and the scope of the winter service. Materials remain assignable with their receipts. On this basis it is examined which cost basis fits the self-performance provided. The fact that Farid is an owner and invested time does not replace the concrete distinction of services.
Establish a comprehensible status before billing
Present the examined items so that they match the tasks actually performed. Open questions remain open; an unresolved rate does not become more reliable by more decimal places. The cost allocation and annual statement must then be examined according to the respective applicable framework.
Your result is a comprehensible link between service, statutory cost basis and technically reviewed rate. The own performance does not have to remain invisible for this. However, it should also not appear as an arbitrary lump-sum remuneration in which property management, repair and private owner tasks run together indistinguishably.
