The sales listing has been prepared and initial viewings have taken place. Afterwards you notice a new water mark on a wall or some other change that was not previously known. Different parties may now be working with different states. Our editorial recommendation for Austria and Germany is an orderly update process. It is not a technical diagnosis and does not determine legal consequences regarding disclosure.
First describe the occurrence
Record what you actually saw or were told: location, date, visible observation and the person who reported it. Write “new dark mark beside the window” if that is the finding. Do not add an unverified cause such as a roof problem and do not include a reassuring statement that it is merely a cosmetic defect.
In the case of a possible acute danger or necessary immediate measure, the competent professional assistance is required. This article does not provide instructions for work on pipes, electrics or building fabric. It describes the organisation of information in the sales process.
Locate the previous information status
Search for the version of the listing used, relevant photos and previous factual responses. Note which statement might be affected by the new observation. You do not have to treat the entire exposé as worthless; however, you should be able to recognise where the old status creates an inappropriate impression.
In the hypothetical case, an earlier damage location was described as repaired. After a heavy rain, a visible change appears there again. The new observation does not by itself prove the same cause nor a faulty earlier job. But it does make a current inspection necessary before the previous representation is simply reused.
Commission technical clarification and sales advice purposefully
For the technical side, describe the specific question and hand over any existing earlier findings or invoices. Ask for a clear separation between findings, suspected cause and investigations still outstanding. For sales or contract advice, compile the previous course of events and the currently known change.
Ask there which communication and processing route fits the respective stage of the sale. Whether explanations or contracts are already in place can be essential for that. The article does not claim a general possibility to pause an ongoing process without consequences or to unilaterally change terms.
Record an event in one place
Create a dated entry for the incident. It should contain the observation, associated documents, the responsible handling and confirmed next steps. New findings are added as traceable additions. Do not overwrite the original observation with a later diagnosis so that the sequence is lost.
The person charged with communication receives the respective confirmed status. Record which version or information was given to which involved party and when. This makes the professionally coordinated onward transmission organisationally verifiable; the entry does not replace a review of its legal appropriateness.
Close the point with a clear remaining question
If a measure has been carried out, distinguish between work performed, available proof and remaining question. A new coat of paint is no substitute for a technical report. A file in the folder is not certainty that every involved person knows the current contents.
In the end you need an updated description with a recognisable status and clarified responsibilities. The sale must be able to react to the new information without a note of a initially small observation disappearing between viewing, tradesperson appointment and contract preparation.
